Inquiry (조회)

일반적인 Inquiry(조회)를 위한 팩스나 서신에서는 카타로그, 가격표, 견본, 견적서 등 원하는 정보를 간결하고, 분명하고, 정확하게 기술해야 하며, 그 이상의 군더더기는 필요가 없다. 구입하고자 하는 가격의 하한선을 정해 놓았다 하더라도 그것을 미리 밝혀서는 안된다. 만약 그러한 내용을 밝히게 되면 공급자는 그 가격선에 맞추어 견적을 할 지도 모른다. 공급자들은 견적을 낼 때 대개는 자신들의 결재 조건등을 명시하기 때문에 어떤 특별한 조건을 원하지 않는 경우에는 그런 사항들을 물어 볼 필요가 없다.

조회를 할 때는 다음의 규칙을 따르는 것이 좋다.

알아 보고 싶은 내용에 대한 질문으로 시작한다. 그래야 조회하는 내용을 상대가 즉시 알 수 있다.
간단하게 요점 만을 기술하고는 끝마친다. 경우에 따라서는 인사말 (Dear Sir)이나 끝맺음말 (Yours faithfully 등)을 생략할 수도 있다.
이전에 거래 관계가 없는 공급자에게 조회를 하는 것이라면 어떻게 알게 되었는 지에 대해 상대에게 밝히는 것이 좋다. 또 취급하는 상품이나 사업의 규모에 대해 다소 자세하게 기술하는 것도 바람직하다.

Sample Letter 1

Dear Sirs:

Armstrong & Smith of Sheffield has informed us that you are manufacturers of polyester cotton bed sheets and pillow cases. We would like you to send us details of your various ranges, including sizes, colors and prices, and also samples of the different qualities of material used.

We are large dealers in textiles and believe there is a promising market in our area for moderately priced goods of the kind mentioned.

When replying, please state terms of payment and discounts you would allow on purchases of quantities of not less than five thousand of individual items.
